Employee Awards Information

The PSPM Awards Program has been established to recognize and reward outstanding Civil Service (CS) and Academic Professional (AP) employees for their hard work, dedication, and accomplishments.

1. Applicable Criteria/Eligibility

Employee Awards
· Nominees must be employed for at least 6 months and/or beyond the probationary period, whichever is longer
· Only full-time employees are eligible for Employee awards
· Employees undergoing disciplinary action are not eligible
· The PSPM Management Team is not eligible to participate in the program
· Awards will be given on a calendar year basis and winners from a previous quarter may not be eligible again during the calendar year.

Student Award
· Only student employees working at least 10 hours a week are eligible for the Student Award.

Employee Awards
· Employee of the Quarter Award: 2 awards per quarter, 8 total per year
· Employee of the Year Award: 1 award annually
· Inspire Award: 1 award per quarter, 4 per year
· Thank you Award: 2 awards per quarter, 8 total per year

Student Award
· Student of the Year Award: 1 award annually

 

4. Award Prizes

 

GENERAL

· Public recognition: announcement at Quarterly All-Hands Meetings, congratulatory email, shout out on social media, notice in Greenlights.

 

SPECIFIC PRIZES

Employee Awards
· Employee of the Quarter Award: framed certificate and $25 UIC bookstore voucher; floating trophy passed on each quarter to awardees.
· Employee of the Year Award: plaque and $100 UIC bookstore voucher; name on wall of praise at TSB.
· Inspire Award: framed certificate and $25 UIC bookstore voucher; floating award passed on each quarter to awardees.
· Thank You Award: $10 of Dragon Dollars.

Student Award
· Student of Year Award: framed certificate and $25 UIC bookstore voucher

 

5. Nomination Process

 

A. WHO CAN NOMINATE

Employee Awards

· Employee of the Quarter Award: supervisors may nominate (1) staff member whom they supervise each quarter.
· Employee of the Year: no nominations for this award because the person will be selected from the employee of the quarter awardees.
· Inspire Award: Full-time PSPM employees can nominate (1) a colleague who is a peer and not someone they supervise.
· Thank you award: Any employee can submit a “thank you” to any other employee. Submission of the form will result in the person being nominated for this award. There are no limits on the number of thank you submissions per quarter.

Student Award
· Student of the Year: supervisors may nominate up to (2) students whom they supervise per year.

 

B. NOMINATION PROCEDURE

Deadlines and Reminders
A quarterly reminder will be sent out to PSPM staff with deadlines for applications.

Employee Awards
· Employee of the Quarter: Supervisors complete the nomination form which includes an explanation of why the employee should be chosen based on the award
criteria. Each Director will review the forms submitted by supervisors on their team, prioritize, and determine which to forward to the awards committee.
· Submissions each quarter are limited as follows:
- (1) FIM & Business Services
- (1) Planning & Design
- (1) Sustainability
- (3) Project Management
· Inspire Award: employees complete the nomination form which includes an explanation of why the employee should be chosen based on the award criteria. All submissions will be evaluated by the awards committee
· Thank You Award: submit thank you form on PSPM website, on “About our team” webpage. Each submission for an employee will be included in the quarterly drawing.

Student Award

· Student of the Year Award: student supervisors complete the nomination form which includes an explanation of why the student should be chosen based on the award criteria. All submissions will be evaluated by the awards committee.

 

C. AWARD SCHEDULE

Awardees will be announced at quarterly all-hands meetings which will typically be scheduled the last week of March, June, September, and December. This requires that the nomination and selection process follow these deadlines:

- Employee of quarter, Inspire Awards, and student of the year award
o Submission deadline is the 15th of Feb, May, Aug, Nov
o Director’s decision of which employee of quarter awards to submit to the award’s committee: 22nd day of Feb, May, Aug, Nov
o Awards committee members to score awardees over 2- week time period between 23rd of Feb, May, Aug, Nov and 7th of Mar, June, Sept, and Dec
o Award committee selection meeting: week of the 8th of Mar, June, Sept, and Dec

- Thank you awards
o Submission deadline 7th of Mar, June, Sept, and Dec- Award preparation
o Print and frame awards between 15th and 22nd of Mar, June, Sept, and Dec

7. Evaluation Criteria and Selection Process

 

A. EMPLOYEE OF THE QUARTER AWARD

On submission form provide an explanation of how the nominee meets at least two (2) of the following criteria:
· Performance - Overall excellence in all aspects of work performance.
· Effort - Went "above and beyond" job responsibilities. Performed extra duties beyond those normally assigned. This can include volunteering for PSPM events and other campus-wide events, serving on university committees, and coaching/helping others.
· Met individual goals for the quarter.

Awards committee members to review every nomination. Score them on 2 criteria using a scoresheet.
Scoresheet (score up to 2 metrics from 20 points):
1. Performance (1 to 10 points)
2. Effort (1 to 10 points)
3. Met individual goals (1 to 10 points)

 

B. EMPLOYEE OF THE YEAR AWARD
Employee of the year will be chosen from the pool of eight employees of the quarter. Each employee of the quarter recipient will be asked to submit a written statement explaining how their work relates back to PSPM’s mission and vision, which will be taken into account by the awards committee.

 

C. INSPIRE AWARD
On submission form provide an explanation of how the nominee meets at least two (2) of the following criteria:
· Went "above and beyond" job responsibilities. Performed extra duties beyond those normally assigned. This can include volunteering for PSPM events and other campus-wide events and coaching/helping others.
· Promotes enthusiasm and a positive culture among team members.
· Exhibited creativity in problem solving and initiative.

Awards committee members to review every nomination. Score them on 2 criteria using a scoresheet.
Scoresheet (score up to 2 metrics from 20 points):
1. Effort (1 to 10 points)
2. Enthusiasm /Culture (1 to 10 points)
3. Creativity/Initiative (1 to 10 points)

 

D. EMPLOYEE THANK YOU AWARD
Random drawing recognizing team members who received thank you notes either from clients via email or PSPM colleagues via PSPM’s on-line ‘thank you’ form.

 

E. STUDENT OF THE YEAR AWARD

On submission form provide an explanation of how the nominee meets at least two (2) of the following criteria:
· Performance - Overall excellence in all aspects of work performance.
· Effort - Went "above and beyond" job responsibilities. Performed extra duties beyond those normally assigned. This can include volunteering for PSPM events and other campus-wide events and coaching/helping others.
· Met individual goals for the quarter.

MILESTONES (Work anniversaries/Service anniversaries)
Track and celebrate important milestones for 5, 10, 15, 20, 25, 30, 35 years of service at UIC and announce at end of year All-Hands meeting.
